Adding and Accessing Attachments

Supporting documents can be added to a debtor or account record as electronic attachments. The attachments are saved to either the database or file location, and can be accessed by any user at a later time.

Adding an attachment to a debtor or account 

To add an attachment to a debtor:

Step 1: Open the debtor, account, or victim to add an attachment to.

 

Step 2: In the Actions panel, click the Attachments button.

 

Step 3: Near the bottom of the Attachments window, click the Add  button.

 

Step 4: In the Add Attachment window, do the following, and click Add:

  • In the Attachment field, click the Browse  button and navigate to the location of the document to attach.
  • In the Description field, type a description of the attachment. A description makes it easy for you to understand later what has been added to the debtor file.
  • In the lower half of the window, do one of the following:
    • Select Store file in database to store a copy of the attached file in the Revenue Results database.
    • Select Store only the path to keep the attachment file in its current system directory, and have Revenue Results link to the file.

 

Step 5: Click Close.

 

 

Scanning a document as an attachment

Revenue Results can detect if you have a scanner attached to your system and present the options to scan an attachment in the Attachments window.

To scan a document as an attachment:

Step 1: Open the debtor or account to add an attachment to.

 

Step 2: In the Actions panel, click the Attachments button.

 

Step 2: Near the bottom of the Attachments window, click the Scan  button.

 

Step 3: In the Scan using window, do the following:

  1. In the What do you want to scan? area, select the type of document to scan.
  2. Click Preview to preview the scan, then adjust the margins around the area to scan.
  3. Click Scan to scan the document.

 

After scanning the document, the Preview Scanned Attachment window opens.

 

Step 4: In the Preview Scanned Attachment window, do one of the following:

  • Click Scan Next Page to scan another page (for multi-page documents). You then repeat the process in Step 3.
  • Click Finished Scanning to complete the scanning process for the attachment.
  • Click Cancel to abort the scanning process. 

After clicking Finished Scanning, the Add Scanned Attachment window opens, which allows you to save the scanned file as an attachment.

 

Step 5: In the Add Scanned Attachment window, do the following, and click Attach:

  • In the File name field, type the name of the scanned document.
  • In the Description field, type a description of the attachment. A description makes it easy for you to understand later what has been added to the debtor file.
  • In the lower half of the window, do one of the following:
    • Select Store file in database to store a copy of the attached file in the Revenue Results database.
    • Select Store only the path where the scanned document is saved to keep the attachment file in its current system directory, and have Revenue Results link to the file.
  • Click the Browse  button and navigate to the location of the scanned document to attach.

            Note: To scan another page into the attachment, click Previous, and repeat Step 3.

 

Step 6: Click Close.

 

 

Viewing attachment indicators

To see if a debtor or account has any attachments, check the following locations:

In the Actions panel

While viewing a debtor or account, the Attachments button in the actions panel lists the number of attachments after the hyphen on the button.

 

In the Debtor Summary area

While viewing a debtor, the Debtor Summary area displays any attachments for the debtor in the Attachments field.
