Edit an Existing Account

Step 1: To open the Account Folder while in the Debtor Folder, double-click on the account you want to edit.


Step 2: In the Account tab, click Edit Account button on the Actions Panel. The Edit Account dialogue box opens.

Step 3: Fill out or change any relevant information. Notice that there are three (possibly four, if you have the Victims module installed, as shown above) tabs at the bottom of this box. These can be used to access and edit other parts of the account.

  • Line Items tab: Use this to add additional line items to the account. This adds a new line item and incurred date as an original charge amount, versus an adjustment to the account.

To add a line item:

  1. Click the Line Items tab.
  2. In the Code column, click the line to insert a new line item, and select a Code from the drop-down list.
  3. In the Incurred Date column, click the drop-down arrow, and select the date the line item occurred from the calendar.
  4. In the Charged Amount column, type the amount of the charge.
  5. In the Description, type a description of the charge.
  6. In the Reference 1 field, type the reference number of the charge.

NOTE:The Entered Date and Number columns are not available to edit.

  1. Click Save Changes.

To delete a line item:

NOTE:You can only delete a line item if no financial activity has occurred on the line item.

  1. Click the Line Items tab.
  2. Select a line item, and click Delete.
  3. At the Are you sure you want to delete the selected line item(s)? prompt, click Yes.
  4. Click Save Changes.
  5. Debtors tab: Use this option to add additional Debtors to this Account. This is used if you have Co-Responsible Debtors and is called LINKING.

To Link a debtor:

  1. Click the Debtor tab. The Debtor that is currently assigned to this account will display.


2. Click the Link button to add an existing Debtor to this account.

3. Click Add New and Link to create a new Debtor for this account.


4.  Search for the Debtor to link to this account and Click Search.


5.  Highlight the Debtor and click OK

6.  Both Debtors display in the Account box now, as both debtors will now be responsible for this Account.


7.  Select which Debtor will be listed as the PRIMARY debtor on the account via the checkbox.


Step 8: Click Save Changes.
