Setting Dates on Letters

It is very common to display the date on letters that are sent to debtors. This is usually the date that the letter printed. Setting up dates happens directly in Revenue Results, rather than Word.

Add Today’s Date to a letter

Step 1: Navigate to Administration > Correspondence > Define Letters

Step 2: Click the Merge Fields tab.

Step 3: Click the +icon to expand the Miscellaneous menu item in the Available merge fields section.

Step 4: Select the Current Date merge field, and click the right-arrow icon to make the merge field available in your letter.

Step 5: Click the orange wrench icon to change the date format of the Current Date merge field.

Step 6: Select the date format, and click Save Changes to save the format and close the window.

Step 7: Click Apply to save the date format change, or Save Changes and Close to save the date format change and exit the “Define Letters” window.


Set a Date Offset

Revenue Results allows you to place a future date onto a letter. This gives you the ability to specify a due date for a payment, or similar situations.

For example: You mail a ‘Delinquent Letter’ and you expect response in 15 days or they will be assessed an additional fee. This date-delay will allow you to place a date that is 15 days from the date the letter prints.

Step 1: Place the Current Date merge field in your letter, as instructed in the previous section.

Step 2: Click the orange wrench icon to define your date type.

Step 3: Select your Day offset in the top right corner.  The dates in the list adjust to reflect the desired offset.

Step 4: To save the format setting, click Save Changes.

Step 5: The Current Date merge field now displays the field name with a number at the end indicating the number of days which the date is offset.  This gives you the ability to place multiple date-delays onto a single letter.

Step 6: Click Apply to save the date format change, or Save Changes and Close to save the date format change and exit the Define Letters window.

 

Formatting Date-based Merge Fields

Any merge field that displays a date can be formatted in a variety of styles. To format the dates on a letter:

Step 1: Navigate to Administration...Correspondence...Define Letters

Step 2: Select a letter from the list of letters.

Step 3: Select a date-based merge field which exists in the letter, and click the orange wrench icon.

Step 4: Select your desired date format from the list, and click “Save Changes”.

Step 5: The chosen format displays beside the merge field in the list of selected merge fields.

Step 6: Click “Apply” to save the date format change, or “Save Changes and Close” to save the date format change and exit the “Define Letters” window.
