Define Scheduler Events

Scheduled events provide a method to automate select processes at predefined intervals of time.

Schedule options include:

  • Correspondence- print all of your previously-requested letters which are in the queue and ready to print. Future dated letters will not print.
    Example: if you are requesting letters through the week for debtors, but you will only be mailing them each Friday. You could set the Scheduler to automatically print queued letters each Friday morning at a specific time.
  • Export- automate the Export of data elements from the Revenue Results database.
    Example: a SQL script has been created to run a query of specific data needed monthly.
     
  • Import- automate your imports of debtors, adjustments, and payments from another source.
    NOTE: *You will notice the 12am to 3am hour is not available to run imports. This is due to the fact that Debtor and Account Workflow events run daily between 12am and 1am, we do not want these two actions to overlap.
  • Information Provider -

    Mass Letter Request- automate a mass grouping of letters for a specific group of debtors. Example: a Monthly Delinquent letter sent to all debtors that are 5 days delinquent on their payment plan.

  • Mass Statement Request- automate a mass debtor statement request.
    Example: a monthly Financial Statement mailed to debtors on the 30th of each month.
     
  • Report- automatically run a specific report.
    Example: the Daily Balance report is utilized best if it is run once a day at the same time every day. Set the scheduler to run this report at end of business daily at 5:00pm.
     
  • Forward/Recall– automate the sending and receiving of accounts that are flagged to be forwarded to, or recalled from, an outside collection agency.
     
  • Web Payment Export – export a file of debtor information to use with the UltimateNegotiator website payments portal.  Based on pre-defined parameters, this file is sent via SFTP to a server, where debtors can access their accounts and negotiate and make payments via the website.
     
  • Web Payment Import download a file of debtor information from the UltimateNegotiator server via SFTP.  Based on pre-defined parameters, this file will merge payment and demographic data, which has been manipulated by a debtor through the website payments portal.

To set up the Scheduler Event

Step 1: Click Administration > Other > Define Scheduler Events

Step 2: Click the ‘+’ icon to create a new scheduled event

Step 3: Select the type of event you are scheduling from the drop-down list.

Step 4: Type the name of your scheduled event, and then click ‘Add Event’ to add the event to the scheduler.  Your new event now displays in the list. 

Step 4: Select and enter the necessary data required for your event type to function as required.  Each available event type is detailed below.

4a: Correspondence

  • Choose the frequency of how often this event will run from the drop-down list. Choices are:

    • One time only
    • Daily
    • Weekly
    • Monthly
    • X # of minutes
    • X# per hour
    • Twice Monthly
  • Select the date(s) and/or the time of day. The date and time options change depending on the selected interval.
  • Select ‘Create PDF’ save a PDF version of any printed correspondence in an archive folder.
  • Select ‘Display Letter Queue Progress’ to have a window display the print queue while printing.
  • Click ‘Save Changes’ to save the new event.

4b. Data Export

  • Select the frequency of how often this event will run from the drop-down list. Choices are:

    • One time only
    • Daily
    • Weekly
    • Monthly
    • X # of minutes
    • X # per hour
    • Twice Monthly
  • Select the date(s) and/or the time of day. The date and time options change depending on the selected interval.
  • Select the saved export from the drop-down list.

Note: This will only display queries that have been previously saved in the Export menu. To learn how to define an Export, click here.

  • Click on “…” to select the desired folder location of the export file.


    Select your location, and click “OK”.

    Type the file name.

  • Select “Add timestamp to filename for uniqueness” to append the time the file was generated to the filename.
  • Click “Save Changes” to save the new event.

4c: Imports

 

  • Choose the frequency of how often this event will run from the drop-down list. Choices are:

    • One time only
    • Daily
    • Weekly
    • Monthly
    • X # of minutes
    • X # per hour
    • Twice Monthly
  • Select the date(s) and/or the time of day. The date and time options change depending on the selected interval.
  • Select the import type from the drop-down list. Choices are:

    • Debtors/Accounts
    • Payment
    • Adjustment
    • UIF
    • Victim
  • Select an import template from the drop-down list.  For more information on Defining an Import Template click here.
  • Import file path: Click “…” and browse to the directory that holds the import file.

NOTE:  When designating file paths in Scheduler Events, you should always type the Universal Naming Convention (UNC) address of the file, and never type an address to a mapped drive. A UNC address is in a format similar to \\servername\sharename\path\filename. The system administrator at your organization can assist you with obtaining a UNC address.

  • In the File name field, type the file name for the system to retrieve. Use * for a wildcard.
    Example: You have a payment file on your system named Payments_Court022809t.txt, with 022809 representing the date of the file. If you type Payments_Court*.txt in the file name box, the system will import the Payments_Court022809.txt file because the file name starts with “Payments_Court”. Any numbers or text after ‘Payments_Court” will be ignored by the system.

  • If the import type is for adjustments, select the line item to adjust from the “Line item code” drop-down list.
  • If the import type is for debtors and accounts, select the “Allow merge” checkbox to merge any matching data with existing accounts.
  • If “Allow merge” is selected, then select “Overwrite existing data with newer data” to replace the existing data with new data.

NOTE: Remember! The client workstation that is setting up this import scheduler will need to have full access to the file path, and will need to be left on during the time of import.

  • Click “Save Changes” to save the new event.

  • Choose the frequency of how often this event will run from the drop-down list. Choices are:

    • One time only
    • Daily
    • Weekly
    • Monthly
    • X # of minutes
    • X # per hour
    • Twice Monthly
  • Select the date(s) and/or the time of day. The date and time options change depending on the selected interval.
  • Select the letter name from the drop-down list.
  • Select a query option from the drop-down list, or click the “…” to define a new query for this scheduled event.

    Clicking “…”opens  a window where you define Attribute, Comparisons and Value to select debtors for the  letter.
     

  • Define the attributes for your query by clicking the fields and selecting the attributes from a drop-down list.

    Click “Run Query” after your attributes are defined.


    The query runs, and results display in the lower half of the Query window.
     


 

  • Click the save button on the right to save this parameter to use in the scheduler.

    Enter a name for the new query, and click “OK”.

You can now select your saved query from the drop-down list.

  • Select a printer from the drop-down list.
  • If wanted, select “Create PDF and attach to debtor” to save a PDF file of the letter in the debtor’s attachments folder. The PDF generates and archives any time the scheduled event runs.

    If wanted, select ‘Display Letter Queue Progress’ to have a window display the print queue while printing.

    Click “Save Changes” to save the new event.

4f: Mass Debtor Statement

 

  • Select a statement from the drop-down list.

  • Select a query from the drop-down list, or click “…” to create a new query.

 

  • Select a printer from the pull-down menu.
  • If wanted, select “Create PDF and attach to debtor” to save a PDF file of the letter in the debtor’s attachments folder.

    If wanted, select ‘Display Letter Queue Progress’ to have a window display the print queue while printing.

  • Select the “Start date” checkbox to select the starting date for the statement.

    Click the calendar icon on the drop-down list that displays.

    A calendar appears.  Select the starting date.

    Select the “End date” checkbox to select the end date for the statement.

    Click the calendar icon on the drop-down list that displays.

    A calendar appears.  Select the start date.

    Select “Entire History” to process the statement for the entire history of your system.
     

  • Click “Save Changes” to save the new event.

 

4g: Reports

  • Choose the frequency of how often this event will run from the drop-down list. Choices are:

    • One time only
    • Daily
    • Weekly
    • Monthly
    • X # of minutes
    • X# per hour
    • Twice Monthly
  • Select the date(s) and/or the time of day. The date and time options change depending on the selected interval.
  • Select a report from the drop-down list.
  • Select the printer to use from the drop-down list.
  • Select any options and required parameters for your selected report via the checkboxes and drop-down lists.  The options change depending on the selected report.

Note: Offset is a common option in reporting.  Offset is a reference to days, with ‘0’ being today. For example, if a report is set to run today and the offset is 0, the report processes with today’s data. If the report runs with an offset of -1, it will process with yesterday’s data.

  • Click ‘Save Changes’ to save the new event.
     

4h: Forward/Recall

  • Choose the frequency of how often this event will run from the drop-down list. Choices are:

    • One time only
    • Daily
    • Weekly
    • Monthly
    • X # of minutes
    • X# per hour
    • Twice Monthly
  • Select the date(s) and/or the time of day. The date and time options change depending on the selected interval.
  • Select the Queue type from the drop-down menu:

    • Select Recall to create an event that recalls previously forwarded debtors from outside agencies.
    • Select Forward to create an event that sends forward-flagged debtors to the outside agencies.
  • If the outside collection agency transmits data via paper, click  to select the directory where a PDF containing the Forward/Recall data saves to. Revenue Results saves any PDFs generated during the process in this directory.

  • Click Save Changes.


 4i: Web Payment Export

  • Select the time of day to process the export.

    NOTE: This event has to run daily, so the only available option for Run this event is Daily. No other options are available.

  • Fill out the event parameters. The information for this section is provided by your UltimateNegotiator representative:
  • Type the server name or server address into the Server name/address field.
  • Type your account username in the Username field.
  • Type the password for your account in the Password field.
  • Click Test to verify that the connection settings are valid. A dialog box will notify you whether the settings are correct or not.
     
  • Enter the directory to save the export file in by either typing the directory path in the Save file directory field, or by clicking  and browsing to the location.
  • Click Save Changes.

 

4j: Web Payment Import

  • Select the time of day to process the import.

    NOTE: This event has to run daily, so the only available option for Run this event is Daily. No other options are available.

  • Fill out the event parameters. The information for this section is provided by your UltimateNegotiator representative:
  • Type the server name or server address into the Server name/address field.
  • Type your account username in the Username field.
  • Type the password for your account in the Password field.
  • Click Test to verify that the connection settings are valid. A dialog box will notify you whether the settings are correct or not.
     
  • Enter the directory to save the import file in by either typing the directory path in the Save file directory field, or by clicking  and browsing to the location.

  • Select the checkboxes for the file types to download and process:

    If the Process demographic update file is selected, the Demographic update file actions grid appears:

    In this grid, you set the actions that take place when merging imported debtor information.  If debtor information has changed, you control how the system deals with the changed data.

    You can also select the Merge/add in all caps checkbox.  With this option selected, updated info from the import file will be added to Revenue Results in ALL CAPS.

  • Click Save Changes.
