Define Note Views

For a specific debtor or account, a user can view all available notes, or only notes that meet a certain criteria.  These are defined as “Note Views”, and are selected in a debtor’s notes screen via the “Predefined view” drop-down menu.  There are a few preconfigured note views, and a user has the ability to create custom note views.

Creating a New Note View

Step 1: Navigate to Administration àOther àDefine Note Views. The “Define Note Views” window opens.

Step 2: Click the “+” sign to add a new “Note view”. 

NOTE: When adding a new view, you can use the same settings as an existing view by clicking  (copy) instead of the “+” icon.

 

Step 3: Enter aname and click “OK”.

Step 4: Click the cells of the “Note view fields” grid to set the parameters of the new note view.

  • Field:Select “Entered By”, “Entered Date”, “Text” or “Type. Generally, “Type” will be the selection.

    Clause:The clause changes depending on the field selected. Select an option that will return the type of data you need.


Value:Either type or select the required value from drop-down list.  This changes depending on the selected clause.

And/Or: Defines how the selected fields merge to create the view.  Selecting “And” requires that the selected field and the next field(s) conditions are met.  Selecting “Or” allows either the selected field or the next field(s) conditions to be met.

NOTE: If the field is the final field or there is only one field selected, the “And/Or” operator can be either “And” or “Or”.

Step 5: Click “Save Changes” to save the new note view.

 

Deleting an Existing Note View

Step 1: Navigate to Administration...Other...Define Note Views. The “Define Note Views” window opens.

Step 2: Select the note view to delete, and click the “-“ icon.

Step 3: At the confirmation prompt, click “Yes” .

Step 4: Click “Save Changes” to save the note view settings.

 

Recommended Note Definitions

User Notes:This note view allows you to only view a debtor’s manually entered notes.  The definition for a “User Notes” view looks like this:

Address Notes:This note view allows you to view any address change notes for a debtor.  The definition for a “Address Notes” view looks like this:

Payment Plan Notes:This note view allows you to view any notes associated with a debtor’s payment plan.  Select “Payment Plan Notes” as a value from the drop-down menu.  The definition for a “Payment Plan Notes” view looks like this:

Remember!  You need to click “Save Changes” to save the new note views to the system.
